One might think that a hospitals soul operations is to provide doctors and nurses to assist patients with their sickness and diseases. However, there is a ton of operations and systems that go on in the background. At Patton-Fuller Community Hospital, they split up their business information systems in four ways. Patton-Fuller Community Hospital use this system to improve communication and collaboration between senior management, employees, doctors, nurses and patients.
In addition, the current system is suppose to improve the efficiency of hospital operations, relationships with current and future patients, and assist senior executives in managing hospital finances. PFCH System Breakdown The current breakdown of the business information system is split between the following: Accounting and Finance Information System, Human Resources Information System, Customer Relationship Management (CRM) Information System, Knowledge Management (KM) Information System. These four systems combine creates Patton-Fuller Community Hospital.
The Accounting and Finance Information System; is primarily used by senior executives. The Patton-Fuller senior executives use this system to manage, cash flow, assets, liabilities, and net income. After all this information has been entered into this system PFCH has the ability to generate financial statements in which are requirements by federal regulations. For example, at the end of the month, someone from the PFCH team will enter in all data from that month i. e. how much money was paid to account receivables and how much money was paid out to debts.
After gathering and entering, all the data from all the other systems the senior executives can then print out financial statements. This process relies a lot upon the correct information being typed into the system. The Human Resource Information System is primarily used to manage all of the hospital policies, procedures, and compliance requirements (Apollo 2013). Moreover, it allows employees to conduct personnel actions through the hospital intranet. By doing these tasks, Human Resource employees have the chance to focus on more critical human resource actions.
This system is so robust that it is also used by HR personal for recruitment, training, and personnel evaluations. One can call this system a one-stop-shop for all HR related activities. The Customer Relationship Management (CRM) Information System is used to build patient loyalty by allowing patients to interface with the hospital through the World Wide Web. Patient recommendations, complaints, and comments are tracked by this system. In addition, it provides patient satisfaction reports to upper level management. The last of the four information systems is the Knowledge Management (KM) Information System.
This aspect of the hospital deals medical records. These records are available to all doctors and nurses via online. This way doctors and nurses have chance to aid in patient diagnosis and drug administration. ERP Enterprise systems have an important role in any organization. Being able to integrate business processes is very important. “Firms use enterprise systems, also known as enterprise resources planning (ERP) systems, to integrate business processes in manufacturing and production, finance and accounting, sales and marketing, and human resources into a single software system” (Laudon & Laudon, 2012, p. 0).
Before enterprise systems, companies used many software systems at once. “Information that was previously fragmented in many different systems is stored in a single comprehensive data repository where it can be used by many different parts of the business” (Laudon & Laudon, 2012, p. 10). Enterprise systems will play an important role at Patton-Fuller Community Hospital. Patton-Fuller Community Hospital will integrate their business processes into one software system.
The hospital administration, doctors, and staff will use the same software system to do their job. Using one software system will allow Patton-Fuller Community Hospital to operate more efficiently. By not having each department use their own software program or information system, the hospital will function as one unit. “Managers are able to use firm-wide information to make more precise and timely decisions about daily operations and longer-term planning” (Laudon & Laudon, 2012, p. 10).
In the case of Patton-Fuller Community Hospital; medical and financial departments will be able to make precise and timely decisions about whom they are going to admit into the hospital and how much healthcare insurance that patient would need. This is made possible because they are using the same software and can see the same information. Therefore, with the correct ERP system Accounting, Customer Relationship, Knowledge Management, and Human Resources will use the same system. Improvements
Once the new ERP system is implemented, Patton-Fuller Community Hospital will see improvements across the board. For example, a doctor will be able to view x-rays that happen in real-time. Meanwhile the patient will be able to receive an email that contain the same x-ray, while the same email containing a survey regarding the hospital overall performance. Nurses will have the opportunity to order supplies from vendors and top-level executives will be able to take all this information that is being updated in real-time and use it for financial statements or company analysis.
In conclusion, Patton-Fuller Community Hospital will gain advantages when converting to a all-in-one hospital ERP. This ERP will consolidate operations and provide doctors and nurses with more assistance to help patients with their sickness and diseases. There will be a reduction in cost and instead of having four information systems Patton-Fuller Community Hospital will only have one. Thus making Patton-Fuller Community Hospital run smoother, faster, customer friendly, and costing the hospital less money.
